Is WhatsApp support becoming a bottleneck? Decide which steps to automate
A new conversation arrives while someone searches for an earlier estimate. Opening hours are requested repeatedly, while a case needing a human decision gets mixed into the same queue.
A new conversation arrives while someone searches for an earlier estimate. Opening hours are requested repeatedly, while a case needing a human decision gets mixed into the same queue. Automating every reply will not fix that confusion. Separate repeated information, administrative recording and situations that need a person with context.
Identify the queues before selecting a bot
Over a representative period, classify request types without copying personal details into an analysis tool. Useful categories might include opening hours, required documents, estimates, changes and complaints. Note who can answer each category and when a handoff is necessary. Counts are internal planning evidence, not a universal threshold for buying automation.
| Task | Possible treatment |
|---|---|
| Stable information | Reviewed answer and easy access |
| Estimate request | Saved record, owner and next step |
| Complaint or exception | Human response with context |
| External system change | Authorised integration and confirmation |
In a hypothetical business, the same opening question is sent for each estimate, but the description disappears into message history. A short form connected to the commercial workflow may help more than a long bot conversation. Automation should address missing work, not increase the number of questions.
Start with rules people can verify
Standardise opening-hours information, identify the right channel and assign an owner before developing an integration. If information changes, define its review owner. Explain the human handoff without promising a response time the operation cannot support.
Connecting messaging to other systems requires checking the provider's capabilities, authorised credentials, limits, consent and failure handling. Do not share credentials in messages or give automation unrestricted CRM access merely to create one enquiry record.
Test the exception, not only the happy path
Try incomplete information, duplicate messages, a system outage and requests outside the expected categories. Check whether the owner receives context and whether a retry creates only one record. An automatic answer being sent is not proof that support was completed.
Through process automation, I can map queues, implement recording, connect sources and establish a verifiable human handoff. AI may suit some tasks, but organising triage does not require it. When the main need is exchanging records between tools, API integrations help isolate that part of the scope.
