API integration: stop copying records without creating new inconsistencies
A record changes in the commercial system, while operations still uses its old value in a spreadsheet. Someone notices and copies the data again.
A record changes in the commercial system, while operations still uses its old value in a spreadsheet. Someone notices and copies the data again. Connecting tools may remove this manual transport, but an API does not decide which value is correct or how failures are resolved. Establish the source of truth and exchange rules before writing the connector.
Map one record first
Choose an object such as a commercial request. Identify where it starts, who changes it, which fields travel and their purpose. If two tools can change the same information, decide precedence and conflict handling. That is an operational rule, not merely a technical setting.
| Question | Required decision |
|---|---|
| How is the same record recognised? | Stable identifier or matching rule |
| When should exchange happen? | Event, periodic query or manual action |
| What happens if the other side fails? | Controlled retry and investigation queue |
| How are duplicates prevented? | Idempotency key and operation |
| Who checks discrepancies? | Named owner and observable signal |
In a hypothetical order workflow, an event updates a support tool. If the event arrives twice, the connector must recognise the existing order rather than create another. Stripe's webhook documentation provides a concrete example of duplicate-event handling. Your provider's actual capabilities and guarantees require a separate check.
Test a small exchange thoroughly
Use authorised test access to verify creation, updates, cancellation and failure. Review limits, formats, pagination and recovery of historical records. A provider lacking necessary capabilities may make the desired two-way synchronisation unsuitable for the planned scope.
You can begin by standardising field names, identifying repeated records and documenting who updates each value. Do not email credentials or copy an entire personal-data collection into a test without necessity.
Include operation in the integration brief
A successful response may only mean a request was accepted. Establish when its effect becomes available and how to verify it. Technical logs should support investigation without exposing sensitive content. Retries, reconciliation and alerts need owners and explicit boundaries.
Through API integrations, I can review documentation, define data contracts and implement validated exchange with failure handling. When custom approval rules are also required, custom software can complement the connector. Separate those responsibilities in the proposal instead of treating every process problem as an integration issue.

Connect your tools with explicit rules
List the systems and the record currently copied between them. I can assess their APIs and design synchronisation, recovery and traceability.
